AIRMAN Modules

AIRMAN Modules

AIRMAN is an acronym for “Airport Information Report Manager” and was built upon these main principles:

Data Driven Approach - To maintain data integrity, AIRMAN stores dynamic user lists that are unique to your airport(Operators, Fuel Types, Species, Officers etc) within its database. These lists are always available to you when entering data or conducting queries. This approach not only helps speed up data entry, but more importantly eliminates common entry mistakes like spelling errors. Correct data entry leads to correct reports and solutions and eliminates the frustration of time-consuming searches.

Modular Design – Modules are distinct operational components that deal directly with unique activities on your airfield. All modules have the same basic look and feel yet some might have its own set of tools or features tailored to manage those activities. Modules can run independently or be seamlessly bolted together to match your operations. And, the modules feed data to the SMS module for post analysis.

System Administration Module - This module gives you all the tools to control and manage AIRMAN.

Basic System Administration This feature gives you access to all the Data Tables used to populate dropdown menus in order for AIRMAN to run.
Integrated System Security This feature allows supervisors to control exactly where each user is allowed to go within AIRMAN. So, not only must a user have a valid name and password to log onto AIRMAN, they cannot do anything or go anywhere unless they’ve been granted rights by the supervisor. Additionally, supervisors who have given permissions to individuals to view certain data can still “seal records” that precede a specified date, thus allowing users to look at the data prior to that date but not add or edit.
Mapping Integration This feature enables you to directly tie locations to a fixed overhead map of your airfield. This enables you to run advanced map reports listed under the modules below.
Master Logging Every module listed below has its own dedicated log book for review. AIRMAN also provides a master log in which all the entries from these other disciplines are assembled together chronologically. Managers can use this to keep a pulse on what’s happening around the airport. What the active NOTAMS are, the ARFF setting, what inspections are ongoing/complete, how many wildlife have been encountered. This log can be filtered down to only the modules you are interested in and key items can be highlighted for a “handover briefing sheet”.
Master Query Engine This tool enables managers to determine anywhere in the system, regardless of Module every entry where something specific was recorded. For example if you wanted to know the history of a particular aircraft the system would report how many Bird Strikes, Fuel Spills etc that this aircraft was involved in. The same can be applied to individuals etc
Formal Reports All modules come with professional, pre-defined reports customized with your logo.
Drill Down Queries Most modules possess the ability for the user to create simple or complex filter criteria based on more than one category.
General Queries Some modules possess the ability for the user to run category-specific filter criteria.


Safety Management Module – This module is really a master module, overlooking all the other modules and is a must for airports trying to manage safety and still fall within Federal and/or ICAO guidelines. Some of the features available are:

Human Factors Analysis(HFACS) This tool enables managers to take any entry from any of the available modules and de-construct those incidents using the widely accepted HFACS(Human Factors Analysis and Classification System) to get to the root of the cause. Running many incidents through this method will reveal trends and deficiencies in your system.
Risk Analysis Scoring This enables managers to take any entry from any of the available modules and run it through a formal Risk Analysis to determine the calculated Risk Level (Probability x Severity x Exposure) and act upon it accordingly.
Anonymous Reporting This tool enables any employee to log a Safety Observation/Violation or Safety Suggestion and remain anonymous if they feel. Once the entry is in the system managers can follow-up and run it through the HFACS and Risk Scoring if they feel it necessary.
Training Management This feature tracks each individual employee, site and contractor against your lists of certifications and licenses applicable at your airport. Supervisors can then specify a minimal warning time for each of these certifications and AIRMAN will notify them when a certification is coming due. For example if it takes 30 days to renew a ramp permits managers can tell AIRMAN to warn them 35 days in advance, giving plenty of time to action the process.

Additionally, users can be applied to roles/jobs and these roles/jobs can have pre-established certifications or training requirements applied to them, allowing supervisors to gain a clear picture of staff and the training required.


Wildlife Management – This module covers all wildlife activities that a typical wildlife officer/biologist will encounter on any given day. This module handles events such as various interventions, Bird Strikes, trappings, census surveys, nest & egg removal, flying of falcons, running of dogs, etc.

Basic Service This covers common data entry, basic queries and a standard set of common reports. This package is sufficient to meet any federal requirement to utilize a electronic means of data capture.
Demographic Map This displays a demographic snapshot of where your activities occurred. Where able, AIRMAN presents each activity one by one. Different items can be color-coded to fit your needs i.e. birds in blue, mammals in black, strikes in red etc.
Population Density Map This displays a demographic of the densities or physical numbers of species counted in each and every grid.
Bird Strike Management This tool manages Strikes based on Species mean weights, numbers hit and then classified according to a controlled impact matrix. This gives managers the ability to break all strikes down i.e. 25 strikes this year(1 Very High, 2 Medium and 22 Very Low). Managers can track each level on graphs and can even apply a warning system that forces action when you’ve reached a certain number based on the impact levels or the species type. This feature is great if you have numerous staff recording information but not necessarily paying attention to the overall figures.
Bird Watch Conditions(BWC) This feature constantly assesses values entered into Interventions and Independent Surveys and automatically recommends what BWC to set your airport at. It also advises when to initiate and review individual Species Action Plans.

Note: All BWC and Action Plan trigger values are controlled by you.

Import Capability If you have historical data on a spreadsheet, text file or in another program such as WHMIS, that data is invaluable to you. AIRMAN provides the ability to Import that data directly into its database. That data can then be included in all reports and queries.

Note: Some restrictions apply as to the type and quality/completeness of the data you may import.

Habitat Manager This feature allows you to create all your known habitats and manage them in a central log. Identify areas that need work to reduce the risk and track the progress etc.
Advanced Trapping Capability By default when you record that you trapped 3 Canada Geese AIRMAN automatically creates 3 separate line entries enabling you to record specifics against each bird. Items such as Tag number found, Tag number assigned, relocation point and time etc. The advanced option allows you to be more scientific by recording items such as wing lengths, weights, and dorsal lengths.
Rehabilitation Capability When species are trapped, you may want to recover one that has been injured. This capability allows you to record and manage every activity you undertook to ensure effective rehabilitation. Documented activities include weighing, injections given, feedings giving you full accountability for a potentially public-sensitive endeavor.
Nest and Egg Removal System This feature manages ongoing and random nest and egg activities. Reports are available for individual species targeted, or for the general ongoing initiatives.
Ammunition Consumption Tracker With this feature, AIRMAN will enable you to track all ammunition consumed on a per-use basis. Determine who used what, where, when, why and how much it cost you over any time period.
Automatic Tide Capability If you live in a coastal area and find that tide heights affect your wildlife behavior, AIRMAN can be loaded with pre-calculated tidal charts for your area (Purchased by Volairus Inc. from 3rd party vendors). Then, as you enter a time and date AIRMAN will automatically insert the tide height for you. Not only does this speed up your process, it gives you a great opportunity to look for trends based on the tidal patterns with no effort on your part. Manual tide entries are also available.
Live Asset Manager This feature allows you to track and manage the performance of any falcon or dog you may employ at your airfield. When you record that an asset was used, AIRMAN will create a separate line entry so you can enter detailed information about how that asset performed, what its operational weight was, who the handler was. This gives you a complete history of where and when the asset was used, what species it performs best and worst on, which officer it performs best and worst with, what its weight history looks like.
Internal Strike Form(FAA,TC,AUS, ICAO, USAF 853, CF 218) When you record a strike AIRMAN will take the information you entered and fill out the proper strike form you want. Forms currently available are Canadian, Canadian Military, US, USAF Australian and ICAO. Once completed these forms can be queried by on or more fields on the form, grouped into formal calculated reports, PDF’d , faxed or Exported.
Independent Surveys This feature provides users a tool to conduct very formal surveys independent of what’s happening on the field. The data collected here is untainted by normal wildlife activities and is therefore not included in overall site counts or reports mentioned earlier. Data collected here can be tied directly to the Bird Watch Condition matrix. And, as the wildlife map displays your activities, the survey map will as well grouped by survey point if desired.

Miscellaneous Module – This module is very popular because it allows users to record and track virtually any activity on the airfield. You can “categorize” entries for reporting and trend analysis as well as group them for post analysis. Entries such as these can be anything, from recording daily sampling, tracking medical issues etc. This module can display the results to a map for demographic analysis.

Equipment Management – This module allows you to completely manage any equipment you use. Use it to track mileage, hours of use and fuel consumption. Coordinate Preventive Maintenance or direct repairs while tracking part, labor and incidental costs. Generate pre-defined inspection lists based on the types of equipment.

  • Maintenance Tracker/Scheduler – This feature allows you to keep records of maintenance performed and can track inventory usage along with running costs per maintenance activity or for any time period selected.
  • Warning System – Let’s AIRMAN warn you when PM’s are due on your equipment.
HAZMAT Spills – This module covers all aspects of chemical spills. Track the events and take preventative measures based on the data. Isolate the spills that were preventable and work out a mitigation process with training, etc.

FOD – This module covers all aspects of FOD found either randomly or by formal FOD sweeps. Identify problematic areas(sources) or materials that should be investigated. This module can display the results to a map for demographic analysis.

Inspection Module – This module provides a complete workstation for anyone to conduct inspections on any tangible object on an airfield or for conducting safety audits etc. You determine the objects to be inspected and you also determine what objects get assigned to an Inspection sheet that you control. The module is completely dynamic to the needs of your needs. You may create two Electrical Inspections, one for weekdays and one for weekends. In the weekday one you may tell AIRMAN to include runway lights 55 to 99, but on the weekend inspection it is only 66 to 75. There are no limits to the amount of objects and no limits to the amount of Inspections you may want to create. Because every object and rule is classified by you, you can identify Outages based on their Category i.e. Display all Electrical Outages.

Work Order Management – This module allows you to record and manage generated in-house work orders. These work orders can be classified for easy assessments and job tracking.

Noise Complaint Log – This feature allows you to generate and track all Noise Complaints received at your site. Establish trends regarding who calls, when are most calls received, what operators/aircraft are most involved..

Emergency Response Log – This module allows users to enter actual callouts(real or training). Track equipment usage, time on scene, stand down time, specifics about the aircraft i.e. SOB’s, fuel remaining, nature of emergency. Utilize all these values for post-tracking and analysis.

Pest/Spray Management – This module is an extension of where the Wildlife module ends off by allowing you to record and manage more detailed removal/control of the lesser species through trapping within buildings/rooms and spraying in fields. You can manage and report on individual traps within a building or track employee exposure rates.

Field Maintenance – This module allows you to record standard and non-standard activities on the airfield. Record current grass heights and what height they were mowed to.

Airside Security Management – This module manages the usual and unusual routines of airside security. You can record gate inspections and search the database quickly for names or even portions of names.

Aircraft Parking – This module allows you to record time-in and time-outs of every aircraft and what spot they were parked at. Track parking costs incurred, paid or unpaid and produce summaries grouped by air carriers etc.

De-Icing – This module allows you to record each and every aircraft that was de-iced. Track chemical, volume or Airline usage.

Customer Feedback – This module allows you to record all customer/passenger satisfaction scores either from random entries or conducted surveys.

Altimeter Issuance Log – This module allows you to keep exact details of each time you issued an altimeter and other mandatory conditions/airfield status to a aircraft, particularly at UNICOM sites where this may be a mandatory practice. This is ideal for generating formal reports for submission or determining what setting was issued to a particular aircraft on a particular day.

Other Features

ARFF Log– This logs maintains what level your airport is at, who set it and why.

Daily Precipitation Log - AIRMAN enables you to store the daily precipitation amounts which can be used for later for trend analysis.

Site Protocols – Every airport has their own way of doing business. This module allows airports to store all the unique site rules and protocols you employ at your site. These rules can be categorized for quick reporting/reviewing and there is no limit to the number of categories you create. This is a great tool for staff who are unsure of a particular routine or for new staff to print off and study. The rules can even be filtered down by category. A good example is what procedures to follow after a bird strike….Do x.y & z. Call a & b. Fill out form c. This way your checklists are central, where everyone can access it.

Activity Diary – This module enables managers to record activities that are unusual in nature but not necessarily airside incidents but that you want to keep a record of i.e. Press Interviews, Tenant Meetings, etc. You establish what types of entries are entered and dictate whether they are hidden or shared from other managers. This comes in handy if you needed to conduct an interview, you can pull it up and read everyone comments to refresh your memory.
